Our client, a well-established Quebec organization, is seeking an Administrative Assistant – Labour Relations to provide essential support to the manager responsible for labour relations files. The successful candidate will play a key role in administrative coordination, the management of confidential files, document preparation, and communication follow-ups with various stakeholders. You will work in a collaborative environment where attention to detail, discretion, and strong organizational skills are highly valued.

Tasks

  • Provide administrative support to the manager responsible for psychological harassment cases as well as to the various stakeholders involved.
  • Manage sensitive and confidential files, including tracking complaints, communications, and required documentation.
  • Follow up on files related to psychological harassment situations by ensuring information is updated, deadlines are met, and coordination with the individuals involved is maintained.
  • Prepare, draft, and format various documents, communications, reports, and correspondence related to ongoing files.
  • Coordinate administrative aspects of meetings, including document preparation, invitations, follow-ups, and logistical arrangements.
  • Manage emails and incoming requests while ensuring thorough follow-up with stakeholders.
  • Maintain accurate file management, record keeping, and document archiving in accordance with established procedures.
  • Provide administrative support to managers and internal teams as needed.
  • Enter and update information in systems and office software tools.
  • Perform any other related duties as required.

Job requirements

  • Vocational Diploma (DEP) in Secretarial Studies or equivalent training.
  • Minimum of 4 years of relevant administrative support experience.
  • Excellent proficiency with Microsoft Office applications (Word, Excel, Outlook).
  • Experience managing confidential files, complaints, or administrative communications (an asset).
  • Strong attention to detail, autonomy, discretion, and excellent organizational skills.
  • Professional bilingualism in French and English is required (approximately 30% of communications are conducted in English).
