Our client is seeking an Administrative Assistant who wants to actively contribute to the smooth operation of a team and grow in an environment where autonomy, judgment, and initiative are valued. In this role, the successful candidate will support daily operations, coordinate various files and projects, and participate in the continuous improvement of procedures. Tasks

  • Provide daily administrative support and manage calls, emails, appointments, and files.
  • Perform digital filing, scanning, and document management in a fully paperless environment.
  • Extract reports and generate queries from internal systems to support operations.
  • Follow up on administrative files and various assignments.
  • Prepare, review, format, and distribute various documents.
  • Track certain administrative information related to client files.
  • Monitor client accounts and prepare invoices.
  • Manage office supplies, inventories, and purchase orders, as well as coordinate building maintenance services (lawn care, snow removal).
  • Coordinate internal activities, reservations, and administrative follow-ups.
  • Participate in administrative processes related to employee onboarding and file management.
  • Contribute to the improvement and documentation of administrative procedures.
  • Use AI wherever possible to optimize processes and workflows.
  • Allocate time throughout the year for training and professional development to support continuous improvement.
  • Welcome clients and suppliers to the office.
  • Perform any other related duties as required.

Job requirements

  • Minimum 3 to 5 years of experience in a similar administrative role, within an accounting firm (mandatory).
  • Self-sufficient, proactive, and able to become operational quickly.
  • Excellent organizational, planning, and priority management skills.
  • Strong proficiency with the Microsoft Office Suite (Excel, Word, and Visio).
  • Strong command of technology and practical use of artificial intelligence tools to improve work methods and efficiency.
  • Experience with management software, CRM platforms, or administrative systems, including IFIRM, Taxprep, and SharePoint.
  • Strong attention to detail, discretion, and professionalism.
  • Availability to work in the office five (5) days per week.
  • Professional bilingualism in French and English required (approximately 50% of communications are conducted in English).
