We are looking for a versatile administrative assistant who will play a central role in the heart of operations for our client in Lévis, while acting as a key point of contact with the head office. With its strategic location at the entrance of the facilities, this person actively contributes to the organization’s image by ensuring a professional, warm, and efficient welcome to clients, suppliers, visitors, and employees. She also provides support to several departments in their daily administrative and operational activities.

Tasks

  • Administrative and Operational Support
  • Greeting, managing calls and emails.
  • Day-to-day administrative management (cash, credit card, purchases).
  • Meeting logistics and coordination with suppliers and carriers.
  • Tracking documents, performance indicators, and internal tools.
  • Support for SST, SAAQ procedures, and management of visitor PPE.
  • Internal Maintenance Management
  • Managing orders, invoicing, payments, and supplies.
  • Financial tracking, updating employee products and subscriptions.
  • Organizing weekly orders and monitoring circulars.
  • Human Resources Support
  • Following up on applications and managing employee files.
  • HR administration (salaries, RRSP, insurance, payroll).
  • Preparing disciplinary and government documents.

Job requirements

  • College diploma (DEC) in secretarial studies or a related field (asset).
  • Good knowledge of Microsoft 365.
  • Excellent command of spoken and written French.
  • Good knowledge of document and table formatting rules.
  • Basic accounting knowledge (asset).
  • Analytical, synthesis, and judgment abilities.
  • Excellent communication and interpersonal skills.
  • Discretion and absolute respect for confidentiality.
