Tasks

  • Managing communications: emails, phone calls, mail, and various documents.
  • Organizing, planning, and prioritizing daily administrative tasks to meet deadlines.
  • Preparing and coordinating meetings: inviting participants, drafting agendas, compiling required files, following up on actions, and writing minutes when necessary.
  • Updating and maintaining various administrative registers.
  • Reviewing, correcting, and formatting documents produced by the management team.
  • Preparing and opening files for new paramedics, including probation tracking according to established procedures.
  • Managing inventory and ordering office supplies.
  • Performing any other tasks assigned by the immediate supervisor.

Job requirements

  • DEP in Secretarial Studies (mandatory).
  • Minimum of 2 years of experience in an administrative or office role.
  • Excellent command of French, both written and spoken.
  • Proficiency in Office Suite (Word, Excel, Outlook, PowerPoint, Access, Visio, etc.).
  • Ability to draft meeting minutes and reports.
  • Strong organizational skills and attention to detail (multitasking).
  • Good judgment and ability to manage priorities.
  • Excellent customer service skills and interpersonal skills.
  • Autonomy and resourcefulness.
  • Ability to work under pressure and manage stress effectively.
