Our client is seeking a Lease Administrator to join a young, dynamic, and rapidly growing team.

Tasks

  • Ensure the collection of outstanding rent and support the accounts receivable team in the accurate allocation of incoming payments.
  • Compile the monthly rent register, analyze discrepancies, and communicate the relevant causes.
  • Apply any changes resulting from lease amendments, renewals, assignments, or terminations, including retroactive adjustments and system updates, while closely tracking receivable amounts.
  • Generate and send rent notices at lease start or whenever financial conditions are updated.
  • Issue 13th-month invoices and send them to tenants, responding efficiently to any inquiries.
  • Follow up and update BOMA measurement certificates, adjusting rents based on newly certified square footage.
  • Prepare clear and accurate lease summaries for internal departments.
  • Maintain the accuracy of rentable areas for existing units and create new units in the system as needed.
  • Quickly communicate any data or condition changes to the relevant departments to ensure smooth coordination.
  • Perform annual adjustments of lease charges indexed to the CPI, calculate new rates, and update management tools accordingly.
  • Closely monitor monthly contractual obligations outlined in leases.

Job requirements

  • Bilingualism in French and English, both written and spoken, is essential for internal and external communication.
  • Advanced proficiency with Microsoft Office tools, particularly Excel, Outlook, and Word, as well as hands-on experience with Yardi software.
  • Significant experience (minimum 5 years) in a similar role combining administrative, accounting, and operational responsibilities.
  • Excellent ability to prioritize and manage multiple tasks simultaneously with accuracy and attention to detail.
  • Sound judgment, critical thinking, and a solid understanding of accounting principles.
  • Proven ability to meet tight deadlines and perform well in demanding environments.
