Our client, a specialist in thermal simulation software, is looking for a Receptionist to ensure a professional welcome for visitors and support the smooth day-to-day operations of its workplace. The successful candidate will serve as the first point of contact for employees, clients, and business partners. This is an excellent opportunity for a professional, organized, and discreet individual who enjoys providing outstanding service while maintaining a welcoming and well-structured environment.

Tasks

  • Welcome visitors and direct them to the appropriate resources;
  • Answer incoming phone calls and handle general inquiries;
  • Open, sort, and distribute incoming mail;
  • Manage and coordinate outgoing mail;
  • Maintain the cleanliness and organization of common areas;
  • Ensure conference rooms are clean, properly equipped, and ready for meetings;
  • Perform regular inspections to keep conference rooms in impeccable condition;
  • Verify that meeting room equipment is functional and operational;
  • Help maintain a professional and welcoming environment;
  • Order meals and lunches as required by the company;
  • Oversee the coffee machine and ensure its proper operation;
  • Perform any other related duties.

Job requirements

  • Relevant experience in reception, administration, or customer service;
  • Advanced bilingualism (English and French), both spoken and written, as approximately 50% of clients are English-speaking;
  • Excellent customer service skills;
  • Strong professionalism, tact, and courtesy;
  • Excellent organizational and prioritization abilities;
  • High level of discretion and commitment to confidentiality, as the role may involve exposure to sensitive and protected information;
  • Self-motivated, resourceful, and reliable;
  • Proficiency with standard computer applications.
