Our client is looking for a Sales Administrative Assistant for a position that goes beyond traditional administrative duties. On a daily basis, you will be involved in order processing, quotations, customer follow-ups, logistics, invoicing, and various other activities that help keep operations running smoothly.
This is a diverse role that will allow you to gain exposure to multiple aspects of the business while working closely with different teams.
Tasks
Provide daily administrative support to the sales team.
Answer phone calls, manage emails, and follow up on requests.
Maintain customer records and ensure documentation is up to date.
Prepare and send quotations, pricing proposals, technical documents, and samples.
Receive, verify, and process customer orders.
Coordinate orders with suppliers and monitor their progress.
Manage import and export logistics across North America in collaboration with carriers and business partners.
Monitor inventory levels and coordinate transportation requirements.
Ensure customs clearance procedures and required documentation are completed accurately.
Process invoicing and follow up on customer accounts.
Prepare cost tracking and profitability reports.
Prepare monthly sales reports, presentations, and forecasts.
Manage quality certificates and ensure they are provided to customers.
Provide administrative support to the accounting team, including invoice verification, expense reports, and supplier payments.
Follow up on overdue customer invoices.
Manage office supplies and coordinate with the IT department when required.
Assist with meeting preparation and document formatting.
Perform other related duties as required.

Job requirements
Completed university degree in Administration, Management, or a related field.
3 to 4 years of experience in an administrative, sales administration, or similar role.
Strong knowledge of Microsoft Office, particularly Word and Excel.
Organized, detail-oriented, reliable, autonomous, and proactive.
Ability to learn quickly, manage multiple priorities, and adapt to a variety of responsibilities.
Professional proficiency in both French and English required (approximately 50% of communications are conducted in English).
Knowledge of Spanish is considered an asset, as the incumbent will regularly collaborate with the Finance Director, who is based in Spain.
Experience with invoicing, quotations, customer service, logistics, or accounting is considered an asset.
