Organize meetings by convening staff members as well as setting the agenda with appropriate documentation.
Report and follow up on issues discussed at meetings with the Association.
Coordinate management business travels with the cooperation of a travel agency if needed.
Handle office supply purchases and maintain inventory.
Make calls for services or orders with suppliers.
Correct, revise and format letters, reports and other documents.
Contribute to the updating of procedures.
Update the contact list and enter data into the computer software.
Be responsible for the development and monitoring of filing systems and maintaining all tracking tools.
Prepare expense reports for members of the Executive Committee in accordance with established policy.
Handle the reception and sorting of mail.
Greet visitors as required.
Be the resource person for the transmission of information from the Association.
Perform any other related administrative tasks to ensure smooth operations.

College diploma in office automation or secretarial studies.
Minimum five years of experience as an administrative agent in a corporate environment.
Advanced knowledge of MS Office Suite - Excel, Word, Power Point and Outlook.
Fluency in both English and French (spoken and written) to be able to respond to English and French speaking clients with ease - functional English will also be considered.
Knowledge of SharePoint - an asset.
