We have an opportunity that will allow you to showcase your expertise as an Assistant Director in airport infrastructure! Our client is a private, non-profit, and financially independent entity. Their mission is to connect Montreal to the rest of the world through exceptional services and a talented and passionate team.

Tasks

  • Ensuring overall management and organization, as well as accurate tracking of activities and files of the director.
  • Coordinating, producing, revising, translating as needed, and finalizing documents and presentations for the director, including layout and formatting.
  • Writing and updating procedures and instructions for the department.
  • Translating letters, bulletins, and memos into both official languages.
  • Managing incoming emails and correspondence based on priorities and taking appropriate actions.
  • Establishing follow-up methods with stakeholders related to active files.
  • Coordinating various tasks and activities related to budget monitoring and providing follow-up reports to the team.
  • Inputting budget and procurement data into the SAP system, conducting variance analyses, and generating reports requested by management.
  • Planning and organizing departmental meetings, as well as internal and external committees on behalf of the director.
  • Preparing files and ensuring availability of required materials, managing room reservations and audiovisual equipment for logistical purposes.
  • Updating and coordinating the intranet section of the department.
  • Planning and organizing special events such as travel and internal/external activities for management members, taking charge of logistics.
  • Managing expense accounts for management members.
  • Performing any other related tasks associated with the position.

Job requirements

  • College diploma in secretarial studies or equivalent.
  • Minimum of 8 years of experience in secretarial or office administration roles.
  • Work experience in a corporate environment.
  • Strong writing skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Knowledge of software such as SharePoint, MS Project, SAP, Power BI, and similar programs is an asset.
